WHY IT MATTERS

Spreadsheets are excellent at rows. A showflow is not rows — it is cue-level context, department views, timing that recalculates and a shared state everyone on comms can act on.

CUE-LEVEL SHOWFLOW

Cue-level detail, in the order it happens. VT rolls, walk-ons, states, hard stops.

The programme says a session runs 25 minutes. The showflow says what happens inside those 25 minutes, at the granularity a person on comms can act on.

  • Cues, timings, notes and operational detail
  • Hard windows that will not move
  • Session-linked production views
A cue list with cue numbers, actions, department tags, standby and go states.

CLEAR VIEWS FOR DIFFERENT CREW

Six people reading the running order, none of them needing the same thing.

A department view is a filter on one shared document rather than a printed variant that can go stale between the print and the doors.

  • Departments, roles and comms in one document
  • Every view prints, with a version and timestamp
  • GFX, LX, A/V, FOH and stage each see their own
The same running order filtered into separate department views for graphics, lighting and sound.

DERIVED FROM THE PROGRAMME

Not a re-entry of the agenda. A deeper view of it.

The running order is already there when you start building cues, and a session moved by the organiser is a running order that has already moved.

  • Built from the published programme
  • Production detail hidden from the public view
  • Post-show, the record is what actually happened
A published programme session expanding into its cue-level production detail.

SHARED STATE

A spreadsheet has no notion of now. A showflow does.

01

One current cue

Everyone on comms is looking at the same position in the same document. "We are on cue 48" becomes a fact rather than a claim.

A cue list with the current cue lit and the next in standby, shared across the crew.

Timing that recalculates

Planned, actual and projected at once — so a two-minute overrun in the opening shows you its consequence at 16:00, while there is still time to absorb it.

A running order showing planned, actual and projected times after an overrun.

Not as a screenshot in a group chat with no timestamp anyone trusts. Twenty minutes later, nobody is operating from the second-to-last picture.

CUE 47.1 · OPENING REMARKS00:00 ELAPSED
Good morning, and welcome to the Fintech Forum. Over the next two days we are going to take apart the payment rail everyone depends on and nobody talks about. Before we start, a word on the schedule: the fireside has moved to thirteen forty-five.

ALSO IN HERE

Built for the room it is used in.

LEGIBLE

Dark room, fast read

Mono type, high contrast, no decoration. Read by someone who is also listening to three people.

PAPER

Prints properly

Paper is a legitimate backup. Every department view prints with its version on it.

IMPORT

Bring the running order

It already exists somewhere. Import it rather than retyping it.

Three crew working side by side in a broadcast gallery, facing a wall of monitors and a lit control desk.
ON THE NIGHT

Somebody is holding the comms. Build for them.

Three people in a gallery, one running order between them. The showflow is the instrument the person calling this room is playing — cue-level, legible in the dark, and current for everyone on the ring.
