Beyond the sheet: how to source and vet a hybrid event technical crew
A hybrid stream is a live television broadcast, and a standard venue AV package is not crewed for one. The three specialists you actually need, what to ask before you book, and how to align them with the running order.
The short answer
A hybrid event stream is a live television broadcast, and a standard venue AV package is not crewed for one. You need three people a room-focused package rarely includes: a technical director running the vision mix, a director calling the cameras, and an audio engineer mixing for the stream rather than for the room. Book those three, ask the redundancy question before you sign, and get them the running order weeks out rather than on the day.

Why general AV falls short
A venue AV package is usually built around the room: microphones that work, a projector that is bright enough, a lighting state that flatters the stage. All of it is necessary and none of it is a broadcast. The moment there is an online audience you have added a second, invisible venue with completely different failure modes — encoding, bandwidth, latency, and an audience who will leave in fifteen seconds rather than complain.
The specific gap is that room work is forgiving and broadcast work is not. A microphone that sounds slightly boxy in a large hall is fine; the same signal compressed to a stream is unpleasant on headphones. A camera that drifts a stop is unnoticeable from row twelve and obvious in a 1080p window. Nobody in the room notices a dropped frame. Everybody watching at home does.
This is not an argument against your AV supplier — it is an argument for asking them a direct question: who on the crew is responsible for what the online audience sees and hears, and does that person do anything else during the show? If the answer is that the sound engineer will "keep an eye on the stream", you have a room package with a camera pointed at it.
Which roles do you need?
Three positions, and on a serious show none of them is doing a second job at the same time. On a small stream one person can cover two of them; know which two, and know what you have given up.
- Technical director / vision mixer
- Runs the mix — usually vMix or a hardware switcher — routes every input, drives the lower thirds, and owns the stream output. The one person who can see, at a glance, whether the broadcast is actually going out. If the encoder drops, this is whose problem it is.
- Camera director
- Decides what the online audience is looking at, and when. A stream cut by whoever happens to be free is a stream that sits on a wide shot for forty minutes. Pacing is a craft: knowing to be tight on a speaker before the line lands, and wide before the applause.
- Broadcast audio engineer
- Mixes for headphones, not for a hall. Different EQ, different compression, different priorities — and crucially, a different mix bus. Room sound sent straight to a stream is the single most common reason a recording is unwatchable.
- And, if there are remote contributors
- Someone who owns the return feed and the talkback. A remote speaker who cannot hear the room or be cued is a speaker who will talk over the host.
How to vet a crew
In this order. The gear list is the last thing worth looking at, not the first — cameras are rentable and judgement is not.
Ask what happens when the internet fails
Not whether it has failed — whether there is an automatic path when it does. Bonded cellular, a second line on a different carrier, a local recording that survives the outage. A crew without an answer has been lucky, and luck is not a redundancy protocol.
Ask how remote speakers get in
There should be a named workflow, and it should not be "we will send them a meeting link". Ask what happens to the return feed, how the speaker is cued, and what the fallback is when their connection degrades mid-answer.
Watch something they cut live
A recording of a real show, not a showreel. Showreels are edited afterwards and prove nothing about live judgement. Watch for camera changes that land on the beat, audio that stays level when the room applauds, and graphics that appear before the name is said rather than after.
Ask who is on comms, and who is not
Find out how the show caller reaches the vision desk, and whether the camera operators can hear that channel. A crew that cannot be talked to during a show is a crew you cannot correct.
Give them the running order early, and see what they ask
This is the real test. A crew that reads it and comes back with questions — what happens in the changeover, is that VT full-frame, who is on stage during the panel reset — is a crew that has run one. Silence means it has not been read.
What this looks like in practice
Three shapes of job, because the crew you need changes with the shape rather than with the budget.
A large public stage with an online audience is the hardest cut. At MCM Comic Con we ran the main-stage panels live — a seven-camera cut, celebrity panels, a room and an online audience wanting completely different things from the same moment. Our own figure for the peak online audience there is past twenty-five thousand. That is a director-led show: there is no version of it where somebody cuts it in their spare time.
A corporate programme is a different problem — less spectacle, far less tolerance for error. Cytiva Academy and JATO Dynamics are that shape: sessions that must start on time, presenters who are not performers, and content that has to be legible on a laptop. And an all-hands or town hall — the pattern behind Amazon Career Day — is a broadcast with a stage, where the online audience IS the audience and the room is almost incidental.
The through-line is that each was crewed for the stream as a first-class output rather than as something captured off the side of a room show. If you are working out what a multi-camera setup actually requires in people rather than in boxes, that is the distinction to hold on to.
Aligning crew and showflow
Most live errors are not technical. They are two documents disagreeing. The show caller is working from a running order, the vision desk is working from a list of lower thirds typed up on Tuesday, and a speaker was replaced on Thursday. The camera cut is perfect and the name on screen is wrong.
The fix is not a better spreadsheet, it is fewer copies. Whatever tool you use, the names, titles and running times that reach the graphics operator should come from the same place the agenda and the run of show come from — and if they have to be typed across by hand, that transcription should happen as late as is safe and be dated, so it can be reconciled after a change rather than trusted blindly.
Build the vision inputs in the order the show runs, too. If the mix is laid out to follow the running order, the operator is prepared for the next cue rather than hunting for it — and when something moves, the gap between the plan and the desk is visible instead of silent.
How EventBlok fits
Everything above is crewing, and applies whatever you plan with. This is the part EventBlok does, so you can judge whether it is relevant.

The showflow is a cue-level view of the same record the agenda publishes, so a session that moves takes its cues with it, and the published agenda, speaker pages and signage views read that same record rather than copies of it. That removes the upstream half of the problem described above — it does not type anything into a vision mixer for you, and it does not pretend to.
To be explicit, since this article links to a production company: there is no integration between EventBlok and vMix today. A WebSocket integration with vMix and Bitfocus Companion is planned for a later release, and no event should be specified on the assumption it exists. What exists now is one running order that everyone — including the vision desk — is reading from.

Book the crew early
The single highest-leverage thing you can do is stop treating the technical crew as a delivery item and start treating them as part of pre-production. A crew brought in at the quote stage tells you what your programme will cost to shoot. A crew brought in the week before tells you what it is too late to change.
Send them the draft running order while it is still a draft. The questions that come back are worth more than the quote.

Common questions
What is the difference between an AV company and a broadcast crew?
An AV package is built around the room — microphones, projection, lighting. Many suppliers do both, but ask directly who owns the stream during the show and whether that person is doing anything else at the same time.

Then send them your draft running order and see what they ask about it. A crew that comes back with questions about changeovers has run one before.
Why do the wrong names appear on lower thirds?
Almost always because the graphics list is a copy. Names and titles get typed into the vision system from a running order that then changes, and nobody reconciles the two. Reduce the number of copies where you can, and where a copy is unavoidable, date it and give one person responsibility for checking it after any programme change.
