How to design a great event stage
A stage is a machine for making one person visible and audible to a room. This is how height, sightlines, screen position and walk-on routes decide whether it works — before anything is dressed.

What makes a stage work
A stage works when everyone in the room can see the speaker's face, read the screen without moving, and hear one clean source — and when the speaker can get on and off it without thinking about where to put their feet. Everything else is decoration. Get those four right and a bare riser reads as professional; get them wrong and no amount of set dressing rescues it.
The mistake most often made is designing the stage as a picture rather than as a piece of equipment. It is drawn from the front, in elevation, from the perspective of a camera that will sit dead centre at eye height. Nobody in the audience sits there. The useful test is the worst seat in the house, not the render.
How high should it be?
Stage height is decided by the seating, not by the stage. On flat floor with rows of chairs, the person in row eight has to see over seven heads, and each head is roughly a seated eye-height above the floor. Typical event staging comes in 200mm increments for exactly this reason, and flat-floor conference stages commonly land somewhere between 400mm and 900mm.
Two things push it down. A very low ceiling makes a high stage feel oppressive and can put a standing presenter into the lighting rig. And every 200mm of height adds steps, which adds a fall risk in low light with a presenter who is nervous and looking at the audience rather than their feet.
Raked or tiered seating changes the calculation completely — in a raked auditorium the audience is already stacked, and a tall stage starts hiding the speaker's feet from the back rows rather than revealing them. In a proper theatre, use the stage that is there.
- Flat floor, rows of chairs
- The common case, and the one that needs real height. Sightlines fail from about row six back if the stage is too low.
- Cabaret or round tables
- Worse than rows: people sit at angles and turn to watch. Height helps, but so does keeping the important action centre and high.
- Raked or tiered
- The room is doing the work already. Adding height can hurt.
- Ceiling height
- Check the trim height of the rig before choosing stage height, not after. A presenter is roughly 1.8m plus whatever you put under them.
What about sightlines?
Sightlines are the whole discipline, and they are checked by sitting down. Walk the room before the set goes in and sit in the four corners, the back row, the seat behind the largest speaker stack and the seat behind the FOH position. Anything you cannot see from those seats, a paying attendee cannot see either.
The recurring offenders are predictable: speaker stacks placed at the proscenium, a lectern set so far downstage that side seats lose it behind the screen frame, delay towers dropped in the middle of a sold row, and camera positions added late without anyone re-checking what they now block. Cameras in particular tend to arrive after the seating plan is locked.
Where does the screen go?
The screen competes with the speaker for the same wall. A single centre screen behind a presenter means the presenter is standing in front of their own content and casting a shadow across it, so the usual answer at conference scale is either two side screens flanking a centred speaker, or one large screen with the speaker positioned to one side of it.
The bottom of the screen has to clear the audience's heads. A screen whose lower third is invisible from row twelve is a screen whose slides must be designed to keep everything in the top two thirds — which nobody will do reliably, because the deck arrives on the day.
Legibility is the constraint that decides screen size, and the trade rule of thumb is based on the furthest viewer: the further back the last row, the larger the screen and the larger the minimum type size on it. If the deck template cannot be enforced, size the screen for the deck you will actually be handed.
How to plan a stage
In this order. Done out of order, each step invalidates the one before it, which is why stage plans get redrawn three times.
Start from the seating plan
Not the stage. How many people, in what arrangement, in what shape of room. The seating decides the height, and the height decides most of the rest.
Fix the worst seat
Identify the furthest and the most oblique seat and design so both work. Every other seat is then better by definition.
Place the screen, then the speaker
The screen is the least movable thing on the stage once the processing and the throw are set. Position the presenter relative to it, not the other way round.
Draw the walk-on routes
How does a speaker reach the stage from their seat, and where do they wait? A route that crosses in front of the audience or through a working camera position will be used anyway, in the dark, on the day.
Add the technical positions last, then re-check
FOH, cameras, comms, follow spot. Each one occupies floor and blocks sightlines. Re-sit in the four corners after they are placed — this is the step that gets skipped.

Common questions
How high should a conference stage be?

Should the screen go behind the speaker or beside them?
Beside, in most conference rooms. A speaker standing in front of a centre screen blocks their own content and casts a shadow on it. Two flanking screens with a centred presenter, or one large screen with the presenter to one side, both avoid that. A centre screen works when the presenter is deliberately kept off to one side for the whole session.
What is the most common stage design mistake?
Designing from the front elevation and never sitting down in the room. Sightline problems are invisible in a render and obvious from the back corner. Sit in the four corners, the back row, and the seats behind the speaker stacks and the sound desk before the set loads in.
When should technical positions be placed?
Last, and then the sightlines must be checked again. Front of house, camera positions, follow spots and comms all take floor space and all block someone. Adding a camera after the seating plan is locked is one of the most reliable ways to sell a seat that cannot see the stage.
